Installation & Setup

Unpack and inspect contents. Place on stable, level surface near power outlet and network connection.

  1. Install Toner Cartridges: Open front cover, remove packing material, insert cartridges (Black, Cyan, Magenta, Yellow) until they click.
  2. Load Paper: Pull out paper tray, adjust guides, load up to 250 sheets of plain paper.
  3. Connect Cables: Attach power cord, USB cable to computer (if used), Ethernet cable to network router.
  4. Connect Telephone Line: For fax, connect phone line to LINE port on rear.
  5. Power On: Press power switch; machine will initialize.

WARNING! Toner cartridges are heavy; handle with care. Ensure all packing materials are removed.

First-Time Configuration

Power on the device; follow on-screen prompts on LCD.

  1. Set Language/Country: Use control panel to select language and country for fax.
  2. Set Date & Time: Enter current date and time for fax header and logs.
  3. Install Software: Insert driver CD or download from Brother website; follow installation wizard for printer and scanner drivers.
  4. Network Configuration: For network use, assign IP address via control panel menu or using Brother's IP setting tool.
  5. Test Print: Print a configuration report to verify setup.

CAUTION! Do not turn off the machine during initialization or firmware update.

Connecting to Network

Connect Ethernet cable from router to machine's LAN port.

  1. Check Connection: Ensure link LED on port is lit.
  2. Obtain IP Address: Machine can get IP via DHCP automatically, or set manually via control panel (Menu > Network > TCP/IP).
  3. Install Network Drivers: On computer, run installer and select "Network Connection" when prompted.
  4. Verify: Print a network configuration report (Menu > Report > Config).

Tip: Use Brother's Web Based Management (web browser) to configure advanced network settings.

Printing & Copying

Supports printing from computer and standalone copying.

  1. Printing from PC: Select "Brother MFC-9440CN" as printer in application, set properties (duplex, color, quality).
  2. Copying:
    • Place original on glass or in ADF.
    • Use control panel to set number of copies, reduce/enlarge, quality.
    • Press Start (Black) or Start (Color).
  3. Special Copy Functions:
    • ID Copy: Scan both sides of an ID card onto one page.
    • N-Up: Copy multiple pages onto one sheet.
    • Book Copy: Copy pages from a book using flatbed.

WARNING! Do not touch the fuser unit inside; it is hot during and after operation.

Scanning & Faxing

Scanning:
1. Place document.
2. Press Scan key on control panel.
3. Select Scan Mode (To PC, To Email, To File).
4. Set resolution and format (PDF, JPEG, etc.).
5. Press Start.

Faxing:
1. Place document in ADF or on glass.
2. Dial number using keypad or speed dial.
3. Press Start (Black) or Start (Color) to send.
4. For PC-FAX, use Brother software to send/receive faxes directly from computer.

Fax Settings: Program speed dials, set fax header, adjust ring delay, enable fax forwarding.

Maintenance & Supplies

Replace toner, drum units, and perform cleaning as needed.

  1. Toner Replacement: Open front cover when prompted by machine. Remove old cartridge, unpack new one, insert until click.
  2. Drum Unit Replacement: Drum life is approx. 25,000 pages. Replace when message appears or print quality degrades.
  3. Cleaning: Wipe exterior with soft, dry cloth. Clean scanner glass with lint-free cloth and glass cleaner.
  4. Paper Jam Clearing: Follow guided messages on LCD. Open rear cover, duplex unit, or paper tray to remove jammed paper gently.

CAUTION! Use only genuine Brother toner and drum units. Do not incinerate used toner cartridges.
