Installation

Unpack and inspect contents. Place on stable, level surface near power outlet.

  1. Remove all packaging tape and protective materials from inside and outside the printer.
  2. Install ink cartridges: Open cover, insert cartridges into respective slots until they click.
  3. Load paper: Adjust paper guides in main tray, load plain paper.
  4. Connect power cord to printer and wall outlet.
  5. Turn on printer using power switch.

WARNING! Do not touch printhead or ink contacts. Keep printer horizontal during setup.

First-Time Setup

Power on printer; follow initial setup wizard on LCD.

  1. Align printhead: Printer will automatically start alignment process after ink installation.
  2. Install software: Insert CD or download drivers from Brother website, follow on-screen instructions.
  3. Connect to network: Use control panel to select Wi-Fi network and enter password, or connect via USB/Ethernet.
  4. Test print: Print a test page via software or control panel to verify operation.

CAUTION! Do not unplug or turn off during initial setup or firmware updates.

LCD Menu Navigation: Use arrows to select, OK to confirm. Settings: Network setup, Print reports, Maintenance, Defaults.

Print Settings: Quality (Draft, Normal, Best), Paper type, Color mode, Duplex. Copy Settings: Number of copies, Darkness, Reduce/Enlarge, Collate. Scan Settings: Resolution, File format, Destination (PC, email, cloud). Network: View connection status, change Wi-Fi settings, enable Wi-Fi Direct.

Connecting Devices

USB: Direct connection to computer. Network: Ethernet to router or Wi-Fi setup. Wireless Direct: Connect devices without router.

  1. Turn on printer and ensure it is in ready state.
  2. For Wi-Fi: Press Wireless button, select network from list on LCD, enter password.
  3. For Ethernet: Connect cable from printer to router.
  4. Install printer software on computer to detect network printer.

Tip: Use WPS button on router for easier Wi-Fi setup if supported.

Printing & Copying

Supports documents, photos, envelopes.

  1. Print from computer: Select Brother DCP-785DW as printer, adjust settings in print dialog.
  2. Copy: Place original on scanner glass or in ADF, use control panel to set copies and options, press Start.
  3. Duplex printing: Enable in printer driver or control panel for automatic two-sided prints.

Note: For ADF scanning, adjust paper guides and do not exceed sheet limit.

Care & Maintenance

Unplug before cleaning exterior. Use soft, dry cloth; do not use alcohol or solvents.

  1. Clean scanner glass: Use lint-free cloth and glass cleaner if needed.
  2. Clean printhead: Run cleaning utility from maintenance menu or software if print quality declines.
  3. Replace ink cartridges: When low or empty, open cover, press old cartridge to release, insert new one.
  4. Clear paper jams: Open rear cover and duplex unit, gently remove jammed paper.

CAUTION! Do not touch ink nozzles or electrical contacts on cartridges.
